ParkFowler Plus is seeking an energetic and motivated full-time Studio and Marketing Assistant for our offices located in the West Loop. This position is hybrid and applicants should be based in Chicago, or the surrounding suburbs. All applicants must be authorized to work in the United States.

The Studio and Marketing Assistant will work closely with Firm Leadership and our Business Development Advisor and will be responsible for the management of the general studio functions and coordinating the execution of all marketing efforts, including driving firm awareness, building brand identity, tracking business development, and producing marketing content and deliverables to support these efforts. This position requires superb organization and management of multiple projects with differing deadlines and timelines.

Roles and responsibilities include, but are not limited to:

Studio Coordination

  • Supports company operations by maintaining studio operations and procedures, supervising the non-professional activities of the staff, and managing office clerical functions
  • Manage and organize full staff meetings. Assist in scheduling other all staff events
  • Work with the Principals, Business Development Advisor, and firm members to develop, support, and execute business development activities that support business goals
  • Coordinate with Principals on weekly calendar of marketing and business development activities
  • Coordinate and schedule various meetings for Principals and be present for virtual introductory meetings to run presentations
  • Support Principals and firm members in thought leadership activities (meetings, presentations, lectures, publications, award nominations, etc.)
  • Assist in scheduling interviews and employee onboarding/offboarding tasks. Create and manage job postings as needed.


Marketing Material Development and Tracking

  • Develop and produce submission and proposal from outlines to full content packages using InDesign. The Studio and Marketing Assistant will be responsible for coordinating the production of high-quality proposals in a timely manner to meet all deadlines.
  • Outreach to other consultant or team members. Gather and organize materials for integration into proposals.
  • Track leads and project opportunities on various procurement sites and monitor the general mailbox for incoming leads
  • Maintain CRM database by adding and updating contacts, tracking outreach, correspondence, meetings, and leads
  • Research and maintain list of local and national consultants for potential teaming opportunities
  • Help compile documentation and applications for local and national firm certifications


Firm Awareness and Brand Identity

  • Work with the Principals, and members of the firm to establish and lead marketing campaigns to build firm awareness and strengthen brand identity
  • Establish and execute marketing campaigns across digital platforms (website, social media, email, marketing materials)
  • Maintain open lines of communication with all firm members to understand timelines, major submissions, and challenges with current project work
  • Help manage the firm’s graphic identity through web and print materials
  • Maintain all aspects of the firm’s marketing drive, including consistent file labelling, updating master marketing lists, including publications, speaking engagements, juries, etc.
  • Coordinate project photography and employee headshots. Must be able to travel to local project sites
  • Participate in the firm’s Graphics Committee to define and adhere to the firm’s graphic standards


Skills & Attributes

  • Minimum 2 years’ experience in similar settings or roles within an Architecture or Engineering firm
  • Bachelor’s degree in a relevant field, including but not limited to Marketing, Communications, Journalism, Graphic Design
  • Knowledge of Architecture or Engineering marketing strategy, business development, and proposal processes (RFQs/RFPs)
  • Strong interpersonal, verbal, and written communication skills
  • Excellent organizational skills and attention to detail
  • A joyful and proactive approach to problem-solving
  • An appreciation for thoughtful architecture, art, and culture
  • Proficiency with Microsoft Office applications
  • Proficiency with Adobe Creative Cloud, including InDesign, Acrobat, and Photoshop
  • Experience with WordPress and CRM software preferred
  • Willingness to attend events related to the growth of the firm, including conferences, workshops, classes, etc. Occasional travel may be required.
